Privacy Policy

Last updated: 8 November 2026

At Alacri Works, we take the privacy of our members and customers seriously. When you register, purchase software or contact us for support, you trust us with certain information. We have a responsibility to handle it properly.

This policy explains what personal information we collect, why we need it, how it's used and what choices you have.

It applies to visitors, registered members, customers and anyone contacting us through https://alacriworks.com/.

1. Who We Are

Alacri Works develops and supplies applications, themes and other software for community platforms, alongside technical support and development services.

For the purposes of applicable data protection law, the organisation responsible for deciding how personal information is used is:

Data controller: Alacri Works - ClawOfWinterfell (Chris)

Business correspondence address: N/A

Website: https://alacriworks.com/

Contact: https://alacriworks.com/contact/

If you have a question about your personal information, or want to exercise your data protection rights, you can contact us using the details above.

2. Information We Collect

The information we hold depends on how you use the website. Someone browsing our software listings won't necessarily provide the same details as a customer who has purchased an application or opened a support request.

Account information

When you register, we collect the details needed to create and maintain your account. These include your username, email address and information associated with your member profile.

We also store account settings, registration details and records relevant to account security.

Passwords are handled through the website's authentication system. We don't need to know your password to provide support, and staff should never ask you to disclose it.

Purchases and licences

When you buy software or services, we need information to process the order and maintain a record of what you've purchased.

Depending on the transaction, this may include your name, contact details, billing information, order history, invoices, products purchased, licence details, renewals and download entitlements.

Payment transactions may also involve a third-party payment provider. The information available to Alacri Works depends on the payment method and provider used.

Technical support and enquiries

If you contact us, we'll receive the information you choose to provide, together with any details needed to identify your account, purchase or support entitlement.

A support request might include application versions, error messages, screenshots, log files or information about your website's configuration.

Please don't send passwords, private API keys, database credentials or other sensitive information unless we've specifically arranged a secure and appropriate way to handle it.

Community activity

When you participate in discussions, your posts, replies, profile information, reactions and other contributions may be associated with your account.

Some of this information is visible to other members or the public, depending on the website's settings and where you choose to post it.

You should avoid sharing personal information in public discussions that you wouldn't want other people to see.

Technical information

Like most websites, Alacri Works may process technical information generated when you visit or use its services.

This can include your IP address, browser details, device information, pages requested, access times and security-related activity.

Such information helps us operate the website, investigate errors and protect accounts and services against misuse.

3. Why We Use Your Information

We use personal information for purposes connected with running Alacri Works and providing the services people request.

These include:

  • Creating and managing member accounts.

  • Processing purchases, renewals and payments.

  • Providing access to purchased software and downloads.

  • Managing software licences and verifying entitlements.

  • Answering enquiries and providing technical support.

  • Sending account, order and service-related notifications.

  • Maintaining community features and enforcing site rules.

  • Investigating security incidents, suspected fraud or misuse.

  • Maintaining records required for accounting, legal or regulatory purposes.

  • Improving the reliability and operation of our website and services.

We don't need every piece of information for every purpose. For example, somebody asking a general question shouldn't have to provide billing information simply to receive an answer.

Where a particular detail is required, we'll aim to make that clear when requesting it.

4. Our Legal Reasons for Processing Information

UK data protection law requires us to have a lawful basis for using personal information.

The basis depends on what we're doing with it.

Providing a service or fulfilling a contract

We process information needed to manage accounts, complete orders, deliver software, administer licences and provide services covered by an agreement with you.

Meeting legal obligations

Some information must be retained or processed to meet applicable legal requirements, including financial record-keeping, tax obligations and responding to lawful requests.

Legitimate interests

We have a legitimate interest in maintaining a secure website, preventing fraud, moderating the community, investigating technical problems and protecting our services.

Where we rely on legitimate interests, we must consider the impact on individuals and ensure those interests don't override their rights and freedoms.

Consent

Certain activities, such as optional marketing communications or the use of non-essential cookies, may depend on your consent.

Where we rely on consent, you can withdraw it. Doing so won't affect processing that was lawful before your consent was withdrawn.

Not every request to use or delete information can be handled in the same way, because the applicable rights depend partly on why the information is being processed.

5. Orders, Payments and Software Licences

If you purchase a resource, we keep records needed to identify the transaction and provide the software or services you've paid for.

Licence information may also be used to confirm whether an account is entitled to download a product, receive updates or request support.

Where licence verification involves information about a website or installation, that information should only be used for legitimate licensing, support, security or related operational purposes.

We may need to retain certain transaction records after an account has been closed. For example, deleting a member account doesn't automatically remove the obligation to maintain financial records.

Payment providers process transaction information according to their own responsibilities and privacy notices.

6. Support Requests and Contact Messages

We understand that technical support sometimes involves sharing information that wouldn't normally appear on a public website.

Support requests are linked to customer accounts and are intended to be handled privately by authorised staff.

Our Contact Us facility also stores enquiries in a protected staff inbox. These records may include the sender's name, email address, message, relevant product or licence details and any attachments submitted.

Staff notification emails may contain details of an enquiry.

At present, automatic retention for the Contact Us inbox is disabled. This means contact records remain stored until they are manually removed or the retention configuration is changed.

We'll review what information is still needed for support, administrative, legal and other legitimate purposes.

If you submit an error log or screenshot, please check it beforehand and remove unrelated personal information or credentials where possible.

7. Public Content and Member Profiles

Alacri Works includes community features where members can publish content and interact with one another.

Information you place in public posts or publicly accessible profile fields may be viewed by visitors and other members. Search engines may also index material that is publicly available.

If you later remove a post or change your profile, copies may still exist in search engine caches, quotations, notifications or backups for a period.

We may retain certain content or records where necessary to meet legal obligations, resolve disputes or maintain the integrity and security of the community, subject to applicable law.

Please consider what you share before publishing it.

8. Cookies and Website Preferences

Alacri Works uses cookies and similar technologies to support website functionality.

These can help with features such as keeping members signed in, maintaining sessions, remembering preferences and protecting the website.

Some cookies are necessary for services you've requested. Others, where used, may support analytics or third-party features and require consent unless an applicable legal exemption applies.

You should be able to make an informed choice about optional cookies.

Our separate Cookies Policy provides further information about cookies and the choices available to visitors.

You can also manage cookies through your browser, although blocking essential cookies may prevent certain website features from working correctly.

9. Emails and Notifications

We may contact you about matters directly related to your account or services.

These messages can include purchase confirmations, support replies, account security notices, licence information and important operational updates.

Such messages are different from optional promotional emails.

Where marketing communications are offered, we'll follow the applicable requirements for consent or other permitted marketing arrangements.

You can object to direct marketing at any time. Marketing preferences or unsubscribe facilities should allow you to stop receiving promotional messages without affecting your access to essential account communications.

You may also be able to manage community notifications through your account settings.

10. Sharing Information with Other Organisations

Operating Alacri Works may require us to use external service providers.

Depending on the services in use, these may include organisations responsible for:

  • Website hosting and infrastructure.

  • Payment processing.

  • Email delivery.

  • Security and spam prevention.

  • Technical maintenance.

  • Other services required to operate the website.

We may also disclose information when legally required, or where necessary and lawful to investigate fraud, protect rights or respond to legal proceedings.

Any service provider processing personal information on our behalf must be subject to appropriate data protection arrangements.

Third-party websites, embedded content and external services may have their own privacy policies. We recommend reviewing those policies before providing information directly to them.

11. Information Stored or Processed Outside the UK

Some service providers may operate infrastructure outside the United Kingdom.

Where personal information is transferred internationally and data protection law requires specific protections, we must use an appropriate legal mechanism.

This may include transfers covered by UK adequacy regulations or recognised contractual safeguards.

The countries involved and applicable protections depend on the service providers actually used. Details of relevant safeguards can be requested through our contact facilities.

12. How Long We Keep Information

We don't intend to keep personal information simply because it might be useful someday.

How long a record is needed depends on its purpose, the nature of the information and any legal or contractual requirements.

Account information may remain while an account is active and, where justified, afterwards for security, administration or dispute resolution.

Purchase and invoice records may need to be retained for the periods required by applicable financial and tax laws.

Support records may be retained while an issue remains open and afterwards where they are reasonably needed for follow-up work, licence history, complaints or legal matters.

Public contributions may remain available until removed under the website's rules or through an applicable deletion request.

Security records and backups may have different retention arrangements.

As explained above, automatic deletion of Contact Us inbox records is currently disabled, so those enquiries remain until manually deleted or the configuration changes.

We'll assess retention needs in line with applicable data protection obligations and review records when appropriate.

13. Keeping Information Secure

We take reasonable steps to protect personal information against unauthorised access, alteration, loss and misuse.

Access to private account information, purchase records and support enquiries should be limited to people who need that information to carry out their responsibilities.

We also expect service providers handling personal information on our behalf to maintain appropriate security safeguards.

No internet-based service can promise complete security, however. We encourage members to use strong passwords, keep their accounts protected and report suspicious activity.

If a personal data breach occurs, we'll investigate it and make any notifications required by applicable law.

14. Your Data Protection Rights

Depending on the circumstances and the legal basis for processing, you may have the right to:

  • Ask what personal information we hold about you and request a copy.

  • Have inaccurate or incomplete information corrected.

  • Request deletion of information where the right to erasure applies.

  • Ask us to restrict certain uses of your information.

  • Object to processing based on legitimate interests.

  • Request the transfer of eligible information to another provider.

  • Withdraw consent where processing relies on it.

You also have the right to object to the use of your personal information for direct marketing at any time.

These rights aren't absolute in every situation. For example, we may be required to retain transaction information even after you ask for an account to be deleted.

If you wish to exercise a right, contact us using the details in this policy.

We may need to verify your identity before disclosing private information or making significant account changes.

We'll consider requests in accordance with the applicable law and explain if an exemption or other legal requirement prevents us from fulfilling a request in full.

15. Automated Processing

Some website functions may use automated checks to support account security, access permissions, licence validation or spam prevention.

These processes don't necessarily amount to automated decision-making with legal or similarly significant effects.

If Alacri Works uses solely automated decision-making that falls within the relevant legal requirements, we'll provide the additional information and safeguards required by law.

16. Children and Young People

Alacri Works primarily provides software and development services for people managing websites and online communities.

Our services aren't specifically designed for children.

If we become aware of personal information being processed inappropriately in relation to a child, we'll review the circumstances and take any steps required under applicable law.

17. Changes to This Policy

Our services may change over time, and this Privacy Policy may need updating to reflect new features, service providers, legal requirements or changes to how information is handled.

The current version will be published on our website.

Where a change materially affects how personal information is used, we'll provide appropriate information or notice as required.

We won't treat an update to this policy as permission to use personal information for an incompatible new purpose without establishing an appropriate lawful basis.

18. Questions and Complaints

If you have concerns about how Alacri Works handles personal information, please contact us first.

Contact Us: https://alacriworks.com/contact/

Website: https://alacriworks.com/

We'll review your concerns and respond in accordance with our obligations.

You also have the right to raise a complaint with the Information Commissioner's Office (ICO), the UK's independent data protection regulator.

We appreciate the trust members and customers place in Alacri Works and recognise that protecting their information is an ongoing responsibility.
